Ethernet switch buying guide for small offices

To choose an Ethernet switch for a small office, count the wired devices you have plus room to grow, decide whether you need Power over Ethernet for phones, access points and cameras, and then pick managed or unmanaged based on whether you need VLANs and remote visibility. For most small offices that means a managed (or "smart" managed) gigabit switch with 24 or 48 ports, PoE on the ports that need it, and a couple of faster uplink ports.

Count ports, then add headroom

List everything that plugs into the wall: desktops, docking stations, printers, IP phones, wireless access points, cameras, network storage and the router or firewall. Add the wall jacks that are wired but not yet used, because a jack with no switch port behind it is a service call waiting to happen. Then add roughly 25 to 30 percent for growth. If the count lands near 20, buy 24 ports; near 40, buy 48.

Gigabit (1 Gbps) ports are the standard for desks. Multi-gigabit (2.5 or 5 Gbps) ports are worth having on the ports that feed current wireless access points, which can exceed 1 Gbps.

Managed, smart or unmanaged

An unmanaged switch is plug-and-play with no configuration. It is fine for a handful of devices in one room but offers no way to separate traffic, see what is connected, or diagnose a problem. A managed switch adds a web or command-line interface for VLANs (separating guest Wi-Fi, phones and cameras from office computers), link aggregation, port monitoring and quality of service for voice. "Smart" or "web-managed" switches sit in between: most of the useful features, simpler interface, lower price. For a small office with IP phones or a guest network, smart-managed is the sweet spot. Fully managed switches suit offices with an IT provider who wants remote access and detailed control.

Power over Ethernet and PoE budget

PoE lets the switch power phones, access points, cameras and some displays over the same cable that carries data, which removes power adapters and lets you place devices where there is no outlet. Two numbers matter. The per-port standard sets how much a single device can draw: 802.3af (up to about 15 W), 802.3at or PoE+ (up to about 30 W) and 802.3bt for high-power devices such as some access points and pan-tilt cameras. The total PoE budget is the amount the switch can supply across all ports at once, and it is almost always less than the per-port maximum multiplied by the port count.

Add up the actual draw of your PoE devices, add a margin, and check it fits under the budget. A switch labelled "24-port PoE+" with a modest budget may only power a dozen access points at full load.

Uplinks and connecting switches together

Uplink ports connect the switch to the router, to another switch, or to a server. Look for at least two ports that are faster than the access ports, commonly 10 Gbps SFP+ slots that accept a fibre module or a direct-attach copper cable. If two switches are joined by a single gigabit port, everything crossing between them shares that 1 Gbps. Link aggregation (bonding two ports) or a 10 Gbps uplink avoids that bottleneck. If a wired run between rooms is longer than 100 metres, fibre through an SFP slot is the standard answer.

Rack, desktop, fans and noise

Rack-mount switches are 19 inches wide and belong in a network cabinet or on a shelf; desktop switches sit on a shelf or wall bracket. Higher-port-count and PoE switches usually have fans, and some are loud enough to be unwelcome in an open office. If the switch will live near desks, look for a fanless model or one rated as quiet. Put the switch, router and modem on a UPS so a brief outage does not drop phones and Wi-Fi. Use decent patch cables and label both ends; the switch is only as tidy as the cabling in front of it.

Finally, check the warranty; many business switches carry limited lifetime cover.

Common questions

Do I need a managed switch for a small office?

If the office has IP phones, a guest Wi-Fi network, cameras or more than one location, a managed or smart-managed switch is worth it because it lets you separate that traffic with VLANs and see which port each device is on. A single room with a few computers and a printer can use an unmanaged switch without losing anything.

How much PoE budget do I need?

Add up the rated power draw of every PoE device you plan to connect (phones are typically low, access points and cameras higher), then add a margin of around 20 to 30 percent. Compare that total with the switch's PoE budget, not its per-port rating. Devices that exceed the budget will be powered off in priority order, which is easy to mistake for a fault.

What is the difference between a switch and a router?

A router connects your office network to the internet, assigns addresses and applies the firewall. A switch connects devices within the office to each other and to the router. Most small offices need one router or firewall and one or more switches. The router provided by an internet service usually has only a few ports, so a switch adds the rest.

Can I connect two switches together?

Yes. Connect them with a cable between an uplink port on each, or between ordinary ports if there is no dedicated uplink. Use the fastest ports available, since all traffic between the two switches shares that link. For heavier offices, join them with two aggregated ports or a 10 Gbps SFP+ link so the connection does not become the slowest part of the network.

Should I buy 24 or 48 ports?

Count wired devices and live jacks, add growth, and round up. Below about 18 devices, 24 ports leaves comfortable room. Above that, either a 48-port switch or two 24-port switches; two units can be placed in different rooms and keep half the office running if one fails. Remember that uplink ports are usually in addition to the access port count.
